Customer Challenges

In field operations, even when teams want to record survey results accurately on site, paper records, Excel entries, and saved photos are often managed separately. As a result, staff must reorganize the information back at the office after completing fieldwork, making duplicate data entry more likely.

When photos, checklist items, and location information are not strongly linked, additional verification work is required later when creating reports. If information remains scattered, it also becomes harder to reference past records, share information within the team, and standardize operations.

Project Objectives

The goal of this project was to enable field surveys and inspection records to be completed on mobile devices, creating a smoother workflow from on-site data capture through to reporting.

We also enabled photos, checklists, and location information to be handled as a single data set, with the goal of reducing re-entry, streamlining report creation, and making historical records easier to use.

SMILE’s Scope of Support

SMILE was responsible for everything from UI/UX design tailored to field use and native app development for iOS/iPadOS to backend API development, local DB design, offline/online synchronization, photo and GPS integration, report generation, and field testing.

Rather than simply building app screens, the solution was designed as an integrated system spanning mobile, server, and admin interfaces, so information entered in the field can be used directly by office teams.

Key Development and Improvement Points

A key focus of this project was enabling field staff to capture the necessary information with as few steps as possible. By combining checklist entry, photo attachment, and location recording into a single workflow, the system helps reduce the effort needed to reconcile information later.

The design also supports offline use so the system can be used in locations with unstable connectivity. Records are first saved on the device at the site and then synchronized with the server when communication becomes available, helping balance ease of use with operational stability.

We also designed the system so recorded data can feed directly into report creation, aiming for more than a simple data entry app: a platform for making effective use of field data.

Technologies Used

Frontend

We adopted a native iOS / iPadOS app built with Swift + UIKit and designed a UI that makes it easy for field teams to enter data, take photos, and use checklists on site.

Backend

We implemented the API in C# / ASP.NET Core, creating an architecture that can handle survey data, photo metadata, location information, and report output data sent from mobile devices.

Database

The server uses SQL Server, while devices use SQLite local, enabling records to be retained offline and centrally managed after synchronization.

Device Integration

Using GPS and Camera, we enabled field photos and location information to be linked to each record.

Other

The solution combines field-oriented features such as offline-first operation, image annotation/compression, background sync, and Excel/PDF reports.

Technical Challenges and How We Addressed Them

A key challenge was ensuring that users could continue entering data even at sites with unstable connectivity. Because online-only designs can easily lead to data loss during entry or interruptions to work, an offline-first architecture centered on local storage was required.

Photos, checklists, and location information also needed to be managed as part of the same work record. Without a well-organized data structure, consistency can easily break down during post-sync reconciliation or report output. In SMILE, we clearly defined the data retention unit on the device and standardized how data is handled during server synchronization, balancing ease of use in the field with traceability for administrators.

In addition, since image data tends to be large in size, the system incorporates annotation processing, image compression, and background synchronization to ensure stable operation in real-world field environments.

Implementation Benefits

With this system, field staff can more easily use information entered once on site directly for reporting and history management. Because photos, locations, and check results are managed together, it also helps reduce the effort required to verify details when preparing reports.

Another important benefit is that it reduces inconsistencies in record formats across sites, making it easier to standardize survey and inspection data. Although quantitative results have not been disclosed, the solution provides practical value by reducing re-entry work, improving consistency in record quality, and accelerating reporting.

Key points for an offshore development structure

For mobile solutions used in field operations, it is essential to design not only the screens but also the actual work procedures and usage environment. At SMILE, the Japan and Vietnam teams work closely together through BrSEs, organizing business flows, input items, report formats, and synchronization timing as development progresses.

By conducting repeated validations, including on-site testing, the team has also established a framework that makes it easier to address usability and operational issues that are difficult to identify from specifications alone.

Conclusion

When digitizing field surveys and maintenance inspections, simply turning input forms into an app is not enough. Only by organizing photos, location information, checklist items, and reporting into a single business workflow can companies create a system that is easy to use for both field teams and office staff.

This case study presents an initiative that organizes insights gained in the field into a reusable mobile field service model. It offers a highly practical approach for companies looking to standardize field records or rethink their reporting processes.
