As a result, teams had to spend significant time re-entering or transcribing data after inspections back at the office. Report preparation also took time, and because the information needed to review past records was not easy to find, both the speed and accuracy of the overall operation were affected. In addition, the existing system lacked the flexibility needed for future feature additions and operational improvements.<\/p>\n<\/div><\/div>\n\n\n\n<div id=\"section-2\" class=\"wp-block-group smile-section\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\"><div class=\"smile-section__head\"><div class=\"smile-section__number\">02<\/div><h2 class=\"smile-section__title\">Project Objectives<\/h2><\/div>\n\n\n<p class=\"wp-block-paragraph\" style=\"font-size:16px\">The purpose of this project was to digitally connect the workflow from on-site inspections through report creation, reduce duplicate work, and establish an operational platform that could be used continuously over time. Rather than simply digitizing data entry, the goal was to organize inspection histories, photos, checklists, and report creation into a single integrated flow, with an architecture that would be easy to maintain and extend with new features in the future.<\/p>\n<\/div><\/div>\n\n\n\n<div id=\"section-3\" class=\"wp-block-group smile-section\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\"><div class=\"smile-section__head\"><div class=\"smile-section__number\">03<\/div><h2 class=\"smile-section__title\">SMILE\u2019s Scope of Support<\/h2><\/div>\n\n\n<p class=\"wp-block-paragraph\" style=\"font-size:16px\">SMILE provided end-to-end support, from requirements definition, iPad app development, backend API development, web admin interface development, offline synchronization design, image management, and Excel\/PDF report output to verification, release, and maintenance. In the iPad app, photos, checklist items, and inspection results are organized so they can be recorded as a single work unit, helping reduce transcription and rechecking in later processes. By combining the backend with a web-based admin screen, inspection data aggregation, history lookup, and report creation can be handled as one continuous workflow. A key focus of this project was to create not just a one-off data entry tool, but a structure that can be operated continuously as a foundation for inspection management.<\/p>\n<\/div><\/div>\n\n\n\n<div id=\"section-5\" class=\"wp-block-group smile-section\"><div class=\"wp-block-group__inner-container is-layout-constrained areas with unstable connectivity, designing synchronization around offline use was a key consideration. We needed to define how in-progress data, photos, and checklists would be consistently retained while minimizing inconsistencies during resubmission. The required business report formats were also complex; simple list exports were not sufficient, and the output structure had to match real field operations. To address this, we organized data by inspection unit, clarified its relationships with images and checklist items, and made incremental adjustments through repeated regression testing. We also structured the platform with future extensibility in mind, including integration with GIS, coordinate data, and existing assets.<\/p>\n<\/div><\/div>\n\n\n\n<div id=\"section-7\" class=\"wp-block-group smile-section\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\"><div class=\"smile-section__head\"><div class=\"smile-section__number\">07<\/div><h2 class=\"smile-section__title\">Implementation Benefits<\/h2><\/div>\n\n\n<p class=\"wp-block-paragraph\" style=\"font-size:16px\">With this system, information recorded in the field can be transferred directly to the management side, making it easier to reduce the burden of re-entering and transcribing data between the field and the office. By managing inspection histories, photos, and checklists in one place, teams can prepare reports and refer to past data more efficiently. The project also demonstrates its effectiveness as an operational platform: over 15 months, with a team of up to 20 people and a total effort of 180 MM, we continuously delivered an iPad app, backend, and web-based management screen, which then led to three years of maintenance and additional enhancements.<\/p>\n<\/div><\/div>\n\n\n\n<div id=\"section-8\" class=\"wp-block-group smile-section\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\"><div class=\"smile-section__head\"><div class=\"smile-section__number\">08<\/div><h2 class=\"smile-section__title\">Key points for an offshore development structure<\/h2><\/div>\n\n\n<p class=\"wp-block-paragraph\" style=\"font-size:16px\">At SMILE, we work with a team that includes BrSEs to organize requirements, confirm specifications, share progress, and define acceptance criteria, while assigning clear roles between the Japan and Vietnam teams throughout development. In projects like this, where it is necessary to understand both on-site operations and reporting workflows, it is important to align screen specifications and output formats early to minimize misunderstandings. In work such as infrastructure maintenance, where coordination between the field and management is critical, outcomes depend less on introducing a single-purpose tool and more on designing a platform that connects the entire workflow.
